Engagement Terms

Overview

Private Media Architecture provides independent consulting services focused on the design, validation, and deployment of private media infrastructure systems. Each engagement is tailored to the client’s environment, goals, and technical requirements.

Services are delivered through a structured consulting process designed to ensure reliability, performance, and long-term scalability.

Scope of Services

Services may include, but are not limited to:

  • infrastructure architecture and system design
  • assessment of existing server, storage, and network equipment
  • performance and capacity planning
  • hardware recommendation and procurement guidance
  • software installation and configuration
  • automation pipeline design and implementation
  • secure remote access and streaming optimization
  • data protection strategy
  • system documentation and operational training

Private Media Architecture does not sell or resell hardware or software products. All equipment purchases are made directly by the client through vendors of their choice.

Infrastructure Requirements

Successful deployment requires suitable server, storage, and network infrastructure.

As part of the engagement, Private Media Architecture will evaluate existing equipment and recommend upgrades or new systems where necessary. Implementation services proceed once appropriate infrastructure is available.

Project timelines may be affected by delays in equipment procurement, delivery, or installation.

Engagement Process

Typical engagements follow a structured progression:

  1. Consultation Request and Intake
  2. Discovery and Requirements Review
  3. Architecture Proposal and Scope Definition
  4. Client Procurement of Required Infrastructure
  5. Remote or On-Site Implementation
  6. System Validation, Documentation, and Training

Additional advisory or optimization services may be provided after initial deployment.

Fees and Payment Structure

Consulting services are billed according to the scope and structure defined in the project proposal.

Depending on the engagement, billing may include:

  • consultation fees
  • fixed-scope project fees
  • milestone-based payments
  • post-delivery invoicing
  • advisory retainers
  • required travel expenses, billed upfront

Payment terms will be clearly defined in the proposal prior to commencement of work.

Travel and On-Site Engagements

Most services can be delivered remotely. On-site consulting and deployment services are available when appropriate.

When travel is required, reasonable travel expenses including transportation, lodging, and meals will be billed to the client in advance.

Travel arrangements may be coordinated directly by the client or managed by Private Media Architecture as part of the engagement.

On-site engagements are typically structured as multi-day deployments to ensure efficient use of travel time.

Procurement Coordination

Private Media Architecture may provide procurement guidance, vendor coordination, and equipment validation services. However, all purchases, warranties, and vendor relationships remain the responsibility of the client.

Recommendations are provided on a vendor-neutral basis with a focus on performance, reliability, and long-term system viability.

Client Responsibilities

Clients are responsible for:

  • timely acquisition of recommended equipment
  • high speed internet or fiber service to the home or site
  • providing access to required systems and network environments
  • ensuring suitable installation locations and power availability

Delays in fulfilling these responsibilities may impact project timelines.

Confidentiality and Discretion

Private Media Architecture recognizes that many clients require discretion regarding their systems, homes, security, and personal lives. All engagements are conducted with a high standard of professional confidentiality.

Non-disclosure agreements may be executed upon request.

Ongoing Advisory Services

After deployment, clients may engage Private Media Architecture for:

  • system expansion planning
  • performance optimization
  • infrastructure upgrades
  • architectural reviews
  • operational advisory support

These services may be structured as fixed engagements or ongoing retainers.

Limitation of Responsibility

Private Media Architecture provides advisory and implementation services but does not assume responsibility for hardware defects, vendor performance, network service availability, or client-managed operational environments.

System reliability depends on proper equipment selection, installation conditions, and ongoing maintenance practices.

Proposal Supremacy

Specific project proposals and statements of work take precedence over general engagement terms. Engagement details, pricing, deliverables, and timelines will be defined on a per-project basis.
